Concatenation is the process of stringing together different pieces of information to form a new piece of data. For example, if we have columns containing people’s title and first name and another containing their last name, we could use concatenation to create their full name. All we need to do is to string together the title, first name and last name.

Excel offers two methods of concatenation. The first is to use the ampersand (‘&’) which is the concatenation operator: the second is to use the CONCATENATE function. To use the ampersand in our Full Name example, we would first type in “=” to indicate that we want to create a function. Secondly, we would click on the cell containing the title to have Excel add a reference to that cell to our formula.

Next, we need to add a space to separate the title from the first name. To do this, we type the concatenation operator followed by a space and since a space is a character it has to be enclosed in quotation marks. Thus, we would type ‘& ” ” &’. After that, we click on the cell that contains the first name, then type ‘& ” ” &’ once more to add a space separating the first name from the last name.

To finish, we click the cell that contains the last name and, to confirm the formula, either press the Enter key or click on the Enter button on the left of the formula bar.

Now let’s look at the CONCATENATE function. When using the Insert Function command, this is found in the Text category and allows you to string together up to 255 pieces of information. For example, let’s say that our title was in cell C2, our first name in D2 and our last name in E2; our formula would read ‘=CONCATENATE(C2,” “,D2,” “,E2)’.

If so, this means that you are creating a document with unwanted characters at the start. Much better to click on File – Page Setup and change the top margin (in Word 2003) or click on Custom Margins in the Page Layout tab of the Word 2007 ribbon.

* The habit of putting two spaces after a period goes back to the days of typewriters and monospace (fixed-width) typefaces like Courier where having two spaces after a period made the end of each sentence easier to detect when reading. Since modern computer-generated typefaces are proportionally spaced, the extra space is superfluous and should not be used.

* A lot of Word users also like to press the Return key twice after each paragraph. This tends to create too much space. It’s better to use just one Return then adjust the paragraph spacing by choosing Format – Paragraph (in Word 2003 and earlier) or clicking on the Page Layout tab (in Word 2007) and entering the desired amount in the box marked Spacing After.

* People who have never had any formal Microsoft Word training can perhaps be forgiven for not fully understanding how tabs work. You will even see some users attempting to align elements by using the space bar and, of course, when they print the document, nothing is properly aligned. As experienced users will know, the Tab key should be used; not the space bar.

* Word, like most text handling software has default tab stops. So, a lot of users align their columns by pressing the tab key repeatedly if necessary to move to closest default tab. This leads to inconsistency in the number of tab characters between columns and should be avoided. It’s much better to click on the Word ruler to set up your own tabs just where you need them.

* A lot of newbie Word users will always format their documents, even long ones, either manually or by using the Format Painter. The best way to format text in long documents is to use Microsoft styles. Each style has multiple attributes associated with it which are applied automatically to any text formatted with that style. In addition, if the attributes of a style are changed, all text in that style is updated throughout the document.

* Word AutoCorrect and other text optimisation features can sometimes seem a bit too much to some users but many people do nothing to adjust the way these features work. In Word 2007, the AutoCorrect and other settings can be changed at any time by clicking on the Office Button and choosing Word Options. The equivalent in Word 2003 and earlier is Tools – Options.

All things that are important get prioritised, so let your friends and family know that this is a priority to you for perhaps ten hours a week for a set number of months. Once your timetable has become established, you’ll take pride in your dedication, and study all the better for it.

DETERMINATION. Having a contract with yourself will make you more determined to stick with the programme. You’re the one who will lose out most if you give up on yourself.

DISCIPLINE. The goals and disciplines you put in place will give you strength to overcome any adversities that inevitably come your way.

Once you’ve done this, sign it and do NOT put it away in a drawer. This is a working document and should be read every day for at least one month so you buy into it and it becomes your new way of life. If and when things get tough, read it again for another month. Always have it close to hand while you study and show it to your partner, kids (if you have them), friends and parents. This will help you to see your goal through.
